How to Log Emails in Outlook
Connecting your inbox and logging emails to contacts, organisations, and projects.
You can log emails from Outlook into Hive. Logging is opt-in — you have to tick the box each time. Nothing is logged automatically.
First-time setup
You only need to do this once.
Step 1. In Hive, go to Settings → General → Inbox, and click Connect personal email.

Step 2. In Outlook, find the HubSpot Sales add-in. It should already be installed.

Step 3. Click the add-in. The panel opens on the right — click Log in. A browser window will open; once you're logged in, you can close it.
The first time only, you'll also need to click Connect Inbox in Outlook.

You'll need to log in roughly once a day. If the panel is asking you to sign in again, that's normal.
Logging an email
Step 1. Compose your email as usual. In the Message tools panel on the right, tick Log.

Step 2. Click the Log dropdown to choose what the email is logged against. Select the Organisation, search for it, and tick it.

Always log against the organisation as well as the contact. The contact link happens automatically; the organisation does not.
Step 3. From August 2026, you'll also be able to log the email against a Project from the same dropdown.

You'll see options you don't need — Deals, Carts, Orders, Tickets and others. These are standard HubSpot record types that we can't remove from the panel. Ignore them.
What happens automatically
If the recipient is already in Hive, the email logs to their activity timeline automatically once you tick Log. This works via a unique BCC address that the add-in inserts for you.
If the recipient isn't in Hive yet, you can create the contact directly from Outlook.


Internal emails are never logged
Colleagues with an ECA email address are set to never log. Without this rule, HubSpot would treat your colleagues like external stakeholders — creating CRM records for ECA staff and logging internal chatter onto activity timelines.
One important exception: if a thread includes both a colleague and an external contact — for example, you CC a teammate on an email to a government department — the email will still be logged to the external contact's record. The never-log rule only suppresses threads where every recipient is on the excluded list.
